Terms & Conditions
Last updated: August 2026
1. Overview
Welcome to The Dep Hub ("Platform"). These Terms & Conditions ("Terms") govern your use of the Platform. By accessing, using, or registering for an account, you agree to be bound by these Terms.
Important: The Dep Hub is a directory and connection service only. Schools remain solely responsible for conducting their own safer recruitment checks. The Dep Hub does not investigate complaints or disputes between users.
2. Use of the Platform
You agree to use The Dep Hub only for lawful purposes and in a manner consistent with all applicable laws and regulations. You agree not to:
- Post false, misleading, or defamatory content
- Engage in harassment, discrimination, or hate speech
- Attempt to access unauthorized areas or bypass security measures
- Use automated tools to scrape or collect data without permission
- Upload malicious files or attempt to distribute viruses or malware
- Impersonate other users or misrepresent your identity
3. Teacher Accounts
3.1 Teachers are responsible for maintaining the confidentiality of their account credentials and for all activities that occur under their account.
3.2 Teachers must ensure that all information provided on their profile is accurate, complete, and kept up to date.
3.3 Teacher profiles are reviewed by The Dep Hub admin team before being published. We reserve the right to reject or remove profiles that do not meet our standards.
3.4 Teachers must hold appropriate DBS checks as required for the type of work they carry out. Teachers are responsible for ensuring their DBS information is accurate and current.
3.5 Teachers must not submit profiles on behalf of others or misrepresent their qualifications or experience.
3.6 By submitting their profile, teachers confirm that all information provided is accurate and complete, that they consent to their declared DBS details being reviewed by The Dep Hub admin team, and that they consent to their DBS Update Service status being checked online where applicable. This confirmation is recorded with a timestamp at the point of submission.
3.7 Teachers must hold a minimum of Standard DBS to register on The Dep Hub. Teachers holding only a Basic DBS certificate are not eligible to create a profile. The Dep Hub reserves the right to remove any profile where the declared DBS level does not meet this minimum requirement.
4. School Accounts
4.1 Schools are responsible for maintaining the confidentiality of their account credentials and for all activities that occur under their account, including activity by additional staff members added to the account.
4.2 Schools must ensure that all information provided on their profile is accurate and kept up to date.
4.3 Schools are solely and entirely responsible for conducting their own safer recruitment checks before engaging any teacher found through The Dep Hub. This includes independently verifying DBS certificates, following up references directly with referees, conducting appropriate interviews, confirming right to work, and complying with all applicable safer recruitment legislation and their own safeguarding policies. By creating an account, schools formally accept this responsibility. This acceptance is recorded with a timestamp at the point of signup.
4.4 The Dep Hub reviews all teacher profiles before they go live, including recording declared DBS information and experience. However, The Dep Hub does not independently verify teacher identity, and information displayed reflects what has been declared by teachers and reviewed at the point of profile approval. Schools must not rely solely on information displayed on The Dep Hub as a substitute for their own due diligence.
4.5 Schools must ensure they comply with all UK safeguarding legislation, including the Keeping Children Safe in Education (KCSIE) guidance, regardless of whether they use information from The Dep Hub.
5. Complaints and Disputes
The Dep Hub does not investigate complaints or disputes between users. If you have a dispute with another user, you should attempt to resolve it directly or seek legal advice. Any complaints about content or conduct should be reported to us, and we will take appropriate action in accordance with our policies, but we do not act as an intermediary in disputes between users.
6. Content Moderation
Teacher and school profiles are reviewed before being published on the Platform. We reserve the right to reject, suspend, or remove any profile or content that violates these Terms or our community standards.
7. Intellectual Property
All content, design, and functionality of The Dep Hub are owned by or licensed to The Dep Hub and are protected by UK copyright and other intellectual property laws. You may not reproduce, modify, or distribute any content without our written permission.
8. No Employment Relationship
The Dep Hub is a directory and connection service only. The Dep Hub is not an employment agency or an employment business, does not employ teachers, does not act as an intermediary in the engagement of teachers, and takes no part in agreeing or setting the terms of any engagement between a school and a teacher. Any arrangement, booking, or engagement is made directly between the school and the teacher, who are solely responsible for its terms. The Dep Hub does not process payments between schools and teachers.
9. Data Protection
The Dep Hub processes personal data in accordance with its Privacy Policy and applicable UK data protection law, including the UK GDPR and the Data Protection Act 2018. Schools acknowledge that when they receive, store, or use any teacher's personal data (including DBS information) outside the Platform, they act as an independent data controller for that data and are responsible for handling it lawfully. Both parties agree to comply with their respective data protection obligations.
10. Limitation of Liability
To the fullest extent permitted by law, The Dep Hub is provided "as is" without any warranties. We are not liable for:
- Any loss or damage resulting from your use of the Platform
- Any inaccuracy or incompleteness of information provided by users
- Decisions made based on information on the Platform
- Any employment or contractual relationships that result from the Platform
- Technical issues, downtime, or data loss
11. Indemnification
You agree to indemnify and hold The Dep Hub, its owners, employees, and agents harmless from any claims, damages, or losses arising from your use of the Platform or violation of these Terms.
12. Termination
We reserve the right to suspend or terminate your account at any time for violations of these Terms or for any other reason, with or without notice.
13. Changes to Terms
We may update these Terms at any time. Your continued use of the Platform following any changes constitutes your acceptance of the new Terms.
14. Governing Law
These Terms are governed by the laws of England and Wales, and you irrevocably submit to the exclusive jurisdiction of the courts of England and Wales.
